A Strategic Role in People and Culture

The successful intern will report directly to the Remuneration and Benefits Specialist and will serve as a key administrative and operational support resource within the department. The position is not merely clerical; it is strategically aligned with process efficiency, policy compliance, and service excellence.

The primary purpose of the role is to provide administrative support to the Employee Benefits Specialist while also serving as a first-line query resolution contact for internal stakeholders. This dual responsibility ensures that internal customers receive accurate, timely, and professional assistance across a wide range of benefits-related matters.


Core Functional Areas

1. Disability Management

A significant component of the role involves administering disability claims in line with risk policy Service Level Agreements (SLAs). The intern will:

  • Process disability claims within SLA timelines.
  • Monitor absenteeism reports to identify potential risk cases.
  • Communicate clearly with payroll and regional teams regarding approved claims.
  • Recover employer funds during waiting periods.
  • Lodge appeals within stipulated grace periods where claims are declined.
  • Maintain a detailed monthly disability tracker for reporting purposes.
  • Conduct monthly reconciliations of insurer payments.
  • Facilitate retirement counselling for disability members to ensure seamless separation.

This function demands strong analytical ability, attention to detail, and adherence to compliance frameworks.


2. Death Claims Management

The internship also includes exposure to death benefits administration, requiring sensitivity, discretion, and procedural accuracy. Key responsibilities include:

  • Processing funeral cover claims promptly upon notification.
  • Verifying additional funeral or group life cover benefits.
  • Ensuring all documentation is complete before submission to insurers.
  • Supporting death investigations by providing accurate employer information.
  • Acting as an intermediary between HR and insurers.
  • Updating process guides and identifying administrative improvement areas.

Handling these cases requires professionalism, confidentiality, and emotional intelligence, as the intern will interact with HR teams during sensitive situations.


3. Medical Aid and Retirement Administration

The intern will track new medical aid entrants and ensure compliance with company policy. Timely assistance with medical aid queries and proper routing of issues will be essential.

Additionally, the role requires facilitating retirement counselling sessions for both normal and early retirements. These sessions must occur at least four weeks before exit, with comprehensive records maintained. The intern will also ensure that all PRMA agreements or instructions are finalized prior to employee separation.


4. Unclaimed Benefits and FAWU Administration

The intern will investigate and respond to queries related to unclaimed benefits across different benefit platforms.

Monthly reconciliations of FAWU membership records and payroll coordination will also form part of the responsibilities, reinforcing the financial accuracy component of the role.


5. General Office Administration and HR Reporting

Beyond benefits management, the intern will support day-to-day office administration, ensuring documentation is accurate, controlled, and handled timeously. This includes:

  • Managing telephone queries professionally.
  • Maintaining updated functional contact lists.
  • Ensuring all administrative processes comply with company policy.
  • Assisting with ad hoc team projects.

From a reporting perspective, the intern will draw regional HR reports, analyse trends quarterly, and provide accurate reports aligned with the standards set by Regional HR Business Partners.


Qualifications and Experience Requirements

To qualify, candidates must meet the following minimum criteria:

  • Grade 12 with Mathematics or Mathematical Literacy (minimum 40% pass).
  • A three-year HR or Finance Diploma or Degree.
  • A valid driverโ€™s licence is advantageous.

Technical proficiency in Microsoft Office is essential, while experience with MSD systems would be beneficial.
