The Market Research Project Administrator plays a critical role in supporting the successful delivery of research projects. The position focuses on coordinating sample-related activities, managing fieldwork logistics, maintaining project documentation, and supporting digital recruitment campaigns. Working closely with internal teams, suppliers, and recruiters, the role ensures that research projects are executed efficiently, compliantly, and to a high standard of quality.

Key Responsibilities
Fieldwork Coordination
The Market Research Project Administrator is responsible for coordinating all operational aspects of fieldwork. This includes scheduling and confirming fieldworkers, arranging venues, and ensuring that the required equipment is available. The role involves preparing fieldwork materials such as questionnaires, discussion guides, consent forms, and briefing packs.
During the fieldwork phase, the administrator monitors progress and escalates any delays or issues to the Fieldwork Manager. The role also includes conducting pilot interviews, assisting with quality checks, and supporting the recruitment and onboarding of fieldwork suppliers.
Project Administration and Documentation
A core function of the role is maintaining accurate and organised project documentation. The administrator manages centralised document repositories and ensures that all supplier contracts and annexures are correctly signed and stored.
The role also involves verifying supplier invoices, assisting with budget tracking, and ensuring that all financial documentation is complete and accurate. Project management tools such as Trello and collaboration platforms like Microsoft Teams must be kept up to date to ensure transparency and effective communication across teams. Compliance with POPIA and internal quality standards is a key responsibility.
Social Media Campaign Support
The Market Research Project Administrator supports the planning and implementation of META (Facebook and Instagram) recruitment campaigns. This includes sourcing quotations from panel suppliers, assisting with campaign setup, and tracking key performance metrics such as cost per complete and completion rates.
The role may require monitoring campaigns and implementing changes on alternate weekends or during leave cover to ensure continuity. Campaign invoices are downloaded, saved, and logged, and monthly campaign tracking documents are updated for reporting purposes.
Supplier and Stakeholder Engagement
Regular communication with suppliers, recruiters, and internal stakeholders forms an important part of the role. The administrator coordinates logistics, responds to queries, and ensures that issues are resolved promptly to avoid project delays.
The role also involves compiling and distributing project status reports, as well as supporting training sessions and onboarding processes for suppliers or team members.
Project and Process Management
Using Trello and other internal tools, the Market Research Project Administrator tracks task completion and project timelines. The role requires identifying risks, escalating concerns where necessary, and collaborating with stakeholders to resolve operational challenges.

Minimum Requirements
To be considered for this role, candidates must meet the following requirements:
- Completed Matric (Grade 12)
- Diploma in Business Administration, Marketing, or a related field (completed or currently studying)
- A minimum of two years’ experience in a similar administrative, operations, or project support role
- Strong coordination and project management skills
- Proficiency in Microsoft Office, including Teams, Outlook, Excel, PowerPoint, and Word
- Experience with project management or data capture tools will be advantageous
