Role Overview: Administration Intern
The Administration Intern will work under the guidance of the Administration Officer, supporting the daily administrative and operational requirements of the Kenya Country Office. This position is designed to help interns build practical skills while contributing toward the smooth functioning of organizational processes.
Key Responsibilities
1. Daily Administrative Support
The intern will support the office with vital administrative functions, including:
- Managing incoming and outgoing correspondence
- Issuing stationery and consumables
- Maintaining inventory records and reconciling stock
- Filing documents, recording deliveries, and tracking parcels
- Updating administrative trackers and Excel reports
- Supporting payment processing and the issuance of invitation letters
These tasks contribute to efficient office operations and help maintain transparent administrative systems.
2. Job Shadowing and Learning Opportunities
Save the Children emphasizes professional growth. Through job shadowing, the intern will gain exposure to:
- Store management and adherence to stock control procedures
- Event planning, hotel bookings, and conference logistics
- General Programme Equipment (GPE) management
- Cost Benefit Tracking (CBT) for evaluating cost efficiency
- Travel management—from TAR approval to ticketing
- Front office management and visitor support
This structured exposure allows the intern to understand how administrative operations enhance program delivery across Kenya.
Child Safeguarding Responsibilities
As with all roles at Save the Children, safeguarding is central. The intern must:
- Understand and uphold the Child Safeguarding Policy
- Ensure personal conduct protects children at all times
