The Role of the Space Data Management Analyst
Reporting directly to the Senior Program Manager of Space Management within the Global Corporate Solutions division, the Space Data Management Analyst will be instrumental in maintaining the integrity and accuracy of the Bank’s corporate real estate data. This role involves managing digital floor plans, analyzing space utilization, and ensuring compliance with industry standards such as ANSI/BOMA.
The ideal candidate will bring a strong background in space management, data analysis, and familiarity with facilities management software tools. Their work will support strategic planning, operational efficiency, and workplace optimization across the Bank’s extensive global portfolio.
Key Responsibilities
- Maintain and update comprehensive corporate real estate space data, ensuring precision and adherence to ANSI/BOMA standards.
- Manage digital floor plans, tracking occupancy, utilization, and space allocation.
- Establish and uphold consistent room numbering conventions across all facilities to facilitate clear communication and reporting.
- Analyze space data to generate insights and recommend strategies for optimizing workspace efficiency.
- Collaborate with real estate, facilities, and workplace strategy teams to support planning initiatives and project implementation.
- Utilize space management software such as FMSystems, AutoCAD, or similar tools to visualize and manage floor plans.
- Develop reports, dashboards, and presentations to communicate space utilization insights effectively to stakeholders.
- Conduct space audits to verify data accuracy and ensure proper allocation of workspace.
- Support scenario planning for moves, adds, and changes (MAC), aiming to improve space efficiency and flexibility.
- Provide training and guidance to internal teams on best practices in space management and data governance.
- Coordinate with IT and software vendors to optimize space management tools and systems.
- Assist lease administration teams by providing accurate space data for portfolio planning and management.
- Benchmark space usage against industry standards and conduct trend analyses to inform strategic decisions.
- Document processes and create user guides to standardize space data management practices.
- Participate in cross-functional projects aimed at enhancing workplace strategies and employee experience.
Qualifications and Skills
Candidates should possess:
- A bachelor’s degree in Real Estate, Architecture, Facilities Management, or a related field; advanced degrees or certifications are a plus.
- At least five years of experience in corporate real estate, space data management, or facilities management, especially with large portfolios.
- Deep knowledge of ANSI/BOMA standards for space measurement and practical application skills.
- Proficiency in AutoCAD, IWMS, or similar space management tools, with additional familiarity with other planning software being advantageous.
- Experience with data visualization and reporting platforms such as Excel, Power BI, or Tableau to create insightful dashboards and reports.
- Strong analytical abilities to interpret complex data and recommend actionable strategies for space optimization.
- Excellent communication skills and the ability to work collaboratively across teams and external vendors.
- High attention to detail, organizational skills, and the capacity to manage multiple priorities in a fast-paced environment.
- Adaptability to changing priorities, proactive approach, and accountability in delivering results.
- Knowledge of sustainability principles in real estate and facilities management is a plus.
Remuneration and Application Process
This consultancy position offers a competitive salary aligned with the World Bank’s standards for EC1-grade roles.
