UNOPS is Hiring for a Senior Programme Management Assistant

Background and Organizational Context

UNOPS Mission:

The New York Portfolio Office (NYPO):
Based in New York, NYPO provides vital support to the United Nations Secretariat and other UN bodies, facilitating project management, infrastructure, and procurement activities.

The Sustainable Development Cluster (SDC):
Formed from multiple portfolios, including Grants Management Services (GMS) and Development and Special Initiatives Portfolio (DSIP), SDC supports global partners in peacebuilding, humanitarian work, and development efforts across approximately 125 countries. It primarily serves partners based in New York but operates globally.

Focus on Small Grants Programme (SGP):
UNOPS manages the Small Grants Programme (SGP) funded by the Global Environment Facility (GEF). SGP channels grants to community-based organizations addressing critical environmental issues such as biodiversity conservation, climate change, sustainable land use, and waste management. Over 25,000 projects in more than 125 countries have benefited from SGP initiatives.


Role and Responsibilities

Key Functions:

  • Programme Implementation Support:
    Assist in day-to-day project management activities, ensuring alignment with expected results and work plans. Support the evaluation and development of project proposals, provide guidance to grantees, and participate in field visits and monitoring activities.
  • Financial Management:
    Oversee financial reporting, review supporting documents, process payments, and ensure compliance with UNOPS and SGP procedures. Maintain accurate financial records, prepare budgets, and monitor expenditures.
  • Administrative Coordination:
    Handle procurement of office supplies, organize meetings, maintain filing systems, and support logistical arrangements for visits and meetings. Ensure proper documentation and record-keeping of all project and administrative activities.
  • Knowledge Management and Communication:
    Promote visibility and awareness of SGP activities through drafting articles, maintaining online presence, and supporting advocacy events. Facilitate communication with stakeholders, including NGOs, government agencies, donors, and community members.
  • Monitoring & Reporting:
    Contribute to regular performance evaluations, compile reports, and assist in monitoring project progress to ensure timely achievement of objectives.

Qualifications and Skills

Educational Requirements:

  • Master’s degree in Business Administration, Environmental Science, or a related field, or
  • First-level university degree with at least 1 year of relevant experience, or
  • Secondary school diploma with 5 years of relevant experience.

Experience:

  • Proven experience in office management, financial reporting, and project support.
  • Previous work with UN agencies or in environmental projects is advantageous.
  • Experience working with local communities and NGOs is preferred.

Language Skills:

  • Fluency in Malay (spoken and written) is required.
  • Proficiency in English is essential.
  • Knowledge of other UN languages is an asset.

Technical Skills:

  • Strong communication, interpersonal, and drafting skills.
  • Good knowledge of financial management and budget control.
  • Excellent IT skills, especially MS Office, databases, and internet research.

Eligibility and Application Details

Nationality:
Applicants must be Malaysian nationals, possess a valid residence and work permit, or be naturalized citizens of Malaysia.
