The United Nations Environment Programme (UNEP), the leading global authority on environmental issues, is seeking a dedicated and skilled Programme Management Assistant to join its Paris Office, specifically within the Law Division’s OzonAction Global Compliance Assistance Programme (CAP) team. The Programme Management Assistant will support the day-to-day operations of the OzonAction CAP team, a key component of UNEP’s efforts to assist countries in adhering to international environmental agreements, especially those related to ozone-depleting substances.

Responsibilities and Duties

The successful candidate will undertake a broad spectrum of administrative, research, and coordination tasks, including:

  • Assisting in planning and implementing activities within the global CAP Partnership portfolio.
  • Researching, compiling, analyzing, and summarizing data related to programme activities and other environmental topics.
  • Preparing and disseminating a fortnightly compilation of press articles on Montreal Protocol developments (OzoNews).
  • Supporting project planning, monitoring, and reporting processes, including tracking project statuses and ensuring timely submission and approval of project documents.
  • Assisting in the preparation of budget proposals, reviewing financial reports, and ensuring compliance with UNEP and multilateral fund guidelines.
  • Monitoring and evaluating ongoing programmes and projects, updating data, analyzing expenditures, and supporting budget revisions.
  • Collaborating with internal teams and external partners to develop performance reports, interpret activities, and ensure quality and accuracy in reporting.
  • Drafting summaries, information notes, and coordinating review, editing, translation, and publication of reports.
  • Serving as a focal point for project implementation activities, liaising with teams and external partners to facilitate administrative processes such as travel, procurement, recruitment, and payments.
  • Maintaining and updating files, databases, and visual data presentations, generating periodic reports, and designing graphic content.
  • Supporting the creation and updating of communication materials, including web pages and brochures, and responding to information requests.
  • Performing other administrative and coordination tasks as assigned to support the smooth functioning of the team.

Competencies and Skills

Candidates should demonstrate:

  • Professionalism: Strong knowledge of UNEP policies, project administration, and environmental programme implementation. Ability to analyze data, resolve issues, and work efficiently under pressure.
  • Communication: Clear, effective written and spoken communication skills in English; ability to tailor messages to different audiences.
  • Planning and Organizing: Ability to set priorities, develop clear goals, and manage time and resources efficiently, including contingency planning.
  • Gender and Diversity Sensitivity: Commitment to promoting gender equality and inclusive participation in all aspects of work.

Educational and Work Experience Requirements

  • A high school diploma or equivalent is mandatory.
  • A minimum of seven (7) years of experience in programme or project administration, research, data analysis, or related fields. Candidates with a university degree may qualify with at least five (5) years of relevant experience.
  • Experience working with enterprise systems like SAP and familiarity with the UN system or similar international organizations is desirable.
  • At least one (1) year of experience in data analytics or related fields is advantageous.

Language Requirements

Fluency in English (reading, writing, speaking, understanding) is required. Knowledge of French is desirable but not mandatory.
