Entry-level Position: International Labour Organization is Hiring for an Administrative Assistant
The International Labour Organization (ILO), a specialized UN agency dedicated to promoting social justice and fair working conditions worldwide, recently announced an opening for an Administrative Assistant at the G5 level within its Universal Social Protection Department (SOCPRO) at headquarters in Geneva, Switzerland. A Strategic Position in a Global Initiative
The Administrative Assistant will support a pivotal project aimed at fostering a just and inclusive transition to sustainable economies. Launched in September 2021 by the UN Secretary-General, the Global Accelerator seeks to accelerate efforts toward job creation and universal social protection, addressing the aftermath of the COVID-19 pandemic while supporting ecological and societal transformations.
The project operates across three interconnected pillars:
- Developing integrated employment and social protection policies.
- Establishing financing frameworks to mobilize resources for inclusive, environmentally conscious, and gender-sensitive employment.
- Strengthening multilateral cooperation to promote decent jobs and extend social protection coverage globally.
This role is instrumental in ensuring that administrative processes run smoothly, enabling the project’s goals to be achieved efficiently and effectively.
The Core Responsibilities
The Administrative Assistant will be responsible for a wide range of administrative and financial tasks essential to the smooth functioning of the project. These include:
- Financial Operations: Supporting expenditure authorizations and transactions within the ILO’s enterprise resource planning system (IRIS). This involves preparing and processing travel authorizations, contracts, travel claims, purchase orders, and requisitions, as well as tracking financial delivery deadlines and supporting budget revisions.
- Financial Control & Record-Keeping: Monitoring project accounts for allocations and expenditures, maintaining organized archives of financial documents, and liaising with country offices on financial matters.
- Meeting and Event Support: Organizing logistics for meetings, workshops, and global events—both in Geneva and remotely—including coordinating travel, lodging, invitations, and payments for participants.
- Document Preparation: Drafting correspondence, reports, presentations, and other documents, ensuring clarity, proper formatting, and adherence to ILO standards.
- Communication & Outreach: Supporting the dissemination of project information, updates, and publications related to the Global Accelerator. This includes collaborating with communication officers and updating the project website and social media platforms.
- Additional Duties: Assisting with the organization of internal and external events, updating relevant online platforms, and providing supplementary administrative support as needed to facilitate project activities.
Who Can Apply?
The position is open to both internal ILO candidates and external applicants, with specific eligibility criteria depending on residency and local recruitment rules. External candidates should note that appointment will typically be at the first step of the G5 grade, with an annual salary starting at approximately 79,366 CHF.
Candidates must demonstrate at least five years of relevant experience and possess strong administrative and financial skills, including proficiency with office software, experience with financial transactions, and excellent communication abilities. Fluency in English and at least one other ILO working language is required.
