About the Role
As part of IOM’s ongoing efforts to strengthen disaster preparedness and response mechanisms across the Philippines, the Project Assistant will play a crucial role in supporting the implementation of the Strengthening Local Resilience through Improved Disaster Preparedness in Typhoon-Prone, Vulnerable Communities project. Working closely with government agencies and response actors, the successful candidate will help ensure that relief efforts are timely, effective, and sustainable.
Based in Legazpi City and reporting directly to the Head of Sub-Office, the Project Assistant will assist in coordinating activities that enhance community capacity to withstand and recover from disasters, focusing on prepositioning relief supplies, facilitating training sessions, and supporting emergency response operations.
Key Responsibilities
The Project Assistant will undertake a variety of tasks essential for the smooth implementation of disaster preparedness activities, including:
- Assisting in the planning, implementation, and monitoring of project activities.
- Gathering, compiling, and analyzing data related to disaster risk reduction and response efforts.
- Supporting administrative coordination, liaising with government agencies, NGOs, and community groups to facilitate project activities.
- Monitoring project budgets, verifying fund availability, and updating financial records in accordance with organizational policies.
- Drafting reports, briefing notes, correspondence, and presentation materials to update stakeholders and inform decision-making.
- Organizing meetings, workshops, and training sessions aimed at building community resilience.
- Responding to inquiries and managing project documentation, files, and records.
- Contributing to the development of progress reports and identifying any gaps or challenges in project delivery.
- Performing other related duties as assigned to support the overall goals of the project.
Qualifications & Skills
Candidates interested in this role should meet the following criteria:
Education:
- A school diploma with at least four years of relevant experience, or
- A bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or a related field from an accredited university (as listed in UNESCO’s World Higher Education Database).
Experience:
- Prior work experience in emergency preparedness or response activities, ideally in the field.
- Experience working in the Bicol region is an advantage.
- Past collaboration with UN agencies, humanitarian organizations, or government institutions in multicultural settings is preferred.
Skills:
- Strong written and oral communication skills.
- Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).
- Knowledge of IOM financial rules and cloud-based systems is an advantage.
- Fluency in English (both oral and written) is required.
- Knowledge of Bikolano dialects is desirable and will be assessed during the selection process.
