The position involves working closely under the supervision of the Project Manager, collaborating with project staff, the ILO’s finance and administrative units, and regional technical teams. The role requires a proactive and detail-oriented approach to ensure the smooth operation of project activities and adherence to ILO’s standards and procedures.

Key Responsibilities

The Finance and Administrative Assistant will undertake a broad spectrum of tasks, including:

  • Administrative and Financial Support: Processing and reviewing contracts, financial documents, and payments; ensuring accuracy and compliance with organizational standards.
  • Financial Record-Keeping: Maintaining project financial records, monitoring expenditures, and reconciling accounts to ensure transparency and accountability.
  • Support for Missions and Activities: Assisting with travel arrangements, accommodation, and logistics for project-related missions, meetings, and workshops.
  • Documentation and Correspondence: Drafting official correspondence, reports, and memos; managing information requests; and ensuring proper filing and document management.
  • Procurement and Payments: Preparing procurement requests based on activity needs, reviewing financial reports from partners, and ensuring compliance before submission.
  • Monitoring and Reporting: Supporting the preparation of financial and progress reports, tracking project implementation, and liaising with internal and external stakeholders.
  • Additional Duties: Performing other administrative functions as assigned, including supporting the organization of events and activities related to the project.

Qualifications and Skills

Candidates should meet the following criteria:

  • Educational Background: Secondary education is mandatory; formal training in accounting, finance, or administration is advantageous.
  • Experience: Minimum of five years in financial and administrative support roles, preferably within international organizations or the UN system.
  • Language Skills: Excellent command of English or French; working knowledge of Portuguese is desirable.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Adobe); familiarity with organizational software such as IRIS is a plus.
  • Core Competencies: Strong analytical skills, attention to detail, sound judgment, discretion with confidential information, and high ethical standards.
  • Interpersonal Skills: Ability to communicate effectively, work independently and collaboratively, and adapt in a multicultural environment with sensitivity to gender and cultural differences.
