The Project Assistant position, classified at Grade G4 (SB-2), is a non-staff, regular contract for one year, with an application deadline of 2 June 2025. The successful candidate will be a national or permanent resident of Austria, supporting UNIDO’s projects within the Directorate of SDG Innovation and Economic Transformation (IET), specifically supporting the Division of Agribusiness and Infrastructure Development (IET/AGR).

Organizational Context and Project Focus

UNIDO’s IET Directorate is at the forefront of developing innovative services to foster sustainable industrial transformation, particularly in agribusiness, climate-related technologies, and infrastructure development. The division’s work supports countries in modernizing their agribusiness sectors, addressing food security, poverty, and climate change—especially crucial in the aftermath of global disruptions like the conflict in Ukraine.

Currently, UNIDO has launched a significant initiative to support Ukraine’s industrial recovery, leveraging technology transfer, capacity building, and fostering partnerships with private sector stakeholders, including Japanese companies. This project aims to rebuild Ukraine’s industry, promote sustainable development, and generate employment, especially for youth and women.

Key Responsibilities

The Project Assistant will play a vital administrative and secretarial role in this complex, multi-stakeholder environment. Their responsibilities will include:

  • Managing correspondence, drafting replies, and maintaining effective communication with internal and external stakeholders.
  • Supporting project administration tasks such as monitoring budgets, tracking project progress via SAP, and assisting with financial and procurement processes.
  • Coordinating meetings, preparing documentation, and organizing events related to ongoing projects.
  • Maintaining comprehensive files and databases, ensuring smooth information flow.
  • Assisting in the preparation of reports, briefing notes, and other project documentation.
  • Providing logistical support for project activities, including travel arrangements and procurement processes.

Qualifications and Experience

The ideal candidate will have:

  • A minimum of six years of relevant professional experience, preferably within the UN system or in multicultural, international environments.
  • Completed secondary education with additional training in office procedures or administrative support.
  • Proven experience in project administration, financial support, and the use of software such as Microsoft Office Suite and SAP.
  • Fluency in English, both written and spoken; proficiency in Ukrainian or Japanese is an asset.
  • Strong organizational skills, attention to detail, and the ability to work independently under tight deadlines.
  • A commitment to integrity, professionalism, and inclusive teamwork.
