Job Purpose

The primary purpose of the Receptionist role is to be the welcoming face of Eskort Pty Ltd. You will play an essential role by greeting guests, managing the front desk activities, and ensuring that our office operates smoothly. Job Role Requirements

Qualifications

  • Education: A minimum of a Grade 12 certificate is required.
  • Certifications: An additional certification in Office Management or a related field would be advantageous and enhance your application.

Experience

  • Proven work experience as a Receptionist, Front-Office Representative, or in a similar role is preferred.
  • Familiarity with Microsoft Office software is essential, as daily tasks will involve various software applications.

Knowledge Required

  • Hands-on experience with office equipment, including printers and copiers.
  • Familiarity with phone systems and switchboard operation to manage incoming calls effectively.

Key Performance Areas (KPAs)

The Receptionist will be responsible for several crucial tasks, including but not limited to:

1. Answering and Screening Calls

  • Answer, screen, and transfer incoming calls to the appropriate personnel while taking messages when necessary.
  • Address customer inquiries by providing accurate information through phone or email communications.
  • Maintain an updated telephone directory by revising it on a monthly basis.
  • Operate the company’s telecommunication system efficiently.

2. Handling Customer Complaints

  • Engage with customers directly to gather necessary complaint details accurately.
  • Log official complaints and notify relevant parties for prompt resolution.
  • Organize replacement stock requests for customers and process any necessary payments, including E-wallet payments.
  • Provide updates and feedback on complaints to ensure customer satisfaction.

3. Ordering of Office Supplies

  • Manage the ordering and inventory of office stationery and cleaning supplies on an as-needed basis.
  • Coordinate the ordering of business cards for staff members, including store cards for the sales team.

4. Welcoming Guests/Visitors

  • Greet guests warmly, directing them appropriately while offering refreshments.
  • Accept and distribute courier parcels and mail deliveries, ensuring they reach the correct recipients.
  • Provide guests with Guest Wi-Fi passwords and any other necessary support.

5. Other Administrative Duties

  • Provide administrative support across all departments as required.
  • Handle clerical tasks such as filing, photocopying, transcribing, and faxing.
  • Maintain a clean and presentable reception area by following procedures and regulations.
  • Ensure necessary supplies such as pens, forms, and COVID-19 Attendance Registers are readily available and displayed appropriately.
  • Daily capture and upload of the COVID-19 Attendance Register.
