Purpose of the position:
Provides a professional and effective reception and administrative service to internal and external stakeholders. Assists administrators in general administrative duties as required including ESS, financial recons, office maintenance etc.
Minimum Requirements
- Mut=st have grade 12 and or certificate in office administration or any relevant qualification
- Must have 2 years’ experience in an administrative role
- Computer literacy in MS Office package is compulsory
- Intermediate level computer skills (MS Office including advanced knowledge of Excel)
- Proficiency in English, isiXhosa or any other South African Languages
- Must have a clear criminal record
- Drivers licence will be an added advantage
Duties and Responsibilities
- Screen phone calls, redirect calls and take messages
- Ensure that meeting rooms and boardroom booking calendar is being used to book venues and manage conflicts as and where necessary
- Ensure that a staff register is available daily for all office and site-based staff
- Report all non-adherence to sign in/out procedures to the programme administrator
- Welcome and direct visitors accordingly
- Ensure that all office equipment is kept in good working order, maintained and serviced when required
- Ensure outgoing mail is prepared for posting, arrange courier collection and ensure incoming mail is collected on a daily basis
- Maintain a filing system for easy retrieval of records and documents
- Manage supplies inventory by checking stock levels, anticipating needs and expediting orders for supplies
- Support Office administrator on petty cash reconciliation and reporting
- Collect, load and file monthly timesheets for all staff
- Assist with administrative and other related duties as assigned
- Ensure that all site staff access the office by means of the biometric reader where available and only open the door for visitors, deliveries and/or security reasons
