Motus FORD GERMISTON has an opportunity available for a PARTS ADMINISTRATOR. Reporting to the Parts Manager, the person in this position will be responsible for control the work flow of paper work pertaining to parts purchases, sales, credits and orders.

Position Overview
Reporting to the Parts Manager, the person in this position will be responsible for control the work flow of paper work pertaining to parts purchases, sales, credits and orders.
Specific Role Responsibilities
Key Duties and Responsibilities:
- Respond promptly to calls in a professional manner, ensuring an excellent and accurate client service.
- Do daily ordering
- Do stock order from DMS printout [after being checked and approved by the Manager].
- Enter stock orders and daily orders into stock
- Ensure that the correct parts are received at the correct prices
- Perform DRs, RFCs and price discrepancies when required
- Clear negative stock from DMS report received from the Manager as instructed
- Assist with stock take when required
- Perform inputs from count sheets for stock takes
- Perform stock adjustments once authorized by the Manager
- Ensure the highest levels of service when receiving parts and assisting with any customer query
- Ensure clear communication with customers, parts manager, salespeople, stores people and drivers
- Discuss all parts stock related queries with the Manager
- Inform the Manager of any parts related problem
- Follow up customer queries relating to credits and P.O.D.s
- File invoices, purchases and credits received
- Follow up credits not received
- Reconcile creditor’s accounts [including AMSA] for payment
- Follow up on accounts reconciliation queries
- Ensure GIS/ GRN account is up to date
- Receive cash sales and prepare the banking of cash and COD sales
- Ensure cash account is up to date and any outstanding payment is justified.
- Record and monitor short supplied, over supplied, incorrect supplies from suppliers
- Ensure that all cash received is secure
- Issue credit notes once the Manager has authorized
- Maintain housekeeping duties and keep work area clean and tidy at all times
- Attend meetings and designated training courses when required
- Carry out any other reasonable task which may be required from time to time.
Qualifications and Experience
Knowledge, Skills and Qualification Requirements:
- A minimum of Grade 12/ Matric equivalent
- A minimum of 2-3 years in the automotive/ motor industry is required.
- Basic technical knowledge of parts relevant to OEM’s or similar brands is required.
- Clear criminal record
- Knowledge of Automate/Evolve will be an advantage.
- Must have excellent verbal communication skills.
- Customer and Team Orientation
- Motor industry experience is essential.
- Computer literacy is essential
